    sefa's files contain its institutional memory, an irreplaceable asset that is often overlooked. Everyday employees create documents and records that are useful for future management decisions and planning. These records document the activities of the sefa which future generation may use to do research.

    Reputation Risk

    Just imagine what will happen if sefa’s confidential and sensitive information lands in the wrong hands or is accessed by a third parties? If an auditor walks in at sefa and requests evidence of sefa’s business transactions and find nothing? What will happen if your personal file can be accessed by unauthorised people???

    It is very expensive to maintain documents and records. Just imagine how much sefa is spending on the paper we use to create documents, the store room and cabinet space we use to house sefa documents and records, the electronic server space our documents occupy, and the warehouse storage of old documents and records. An effective DRM program can save sefa’s storage and paper costs.

     

     

    Time is money!

    Time spent searching for missing or misfiled records is non-productive. Without good information to give to clients, it will be difficult sefa for to generate profits. Poorly managed documents and records will hinder effective research and analysis that can bring about effectiveness into how sefa’s business operates.

    It is a rule of law!

    South Africa is heavily regulated in terms of recordkeeping requirements. This alone poses a big challenge in information management. Failure to comply with laws and regulations could result in severe fines, penalties or other legal consequences. Certain legislations prescribes what documents/records sefa must keep and for who long e.g. FICA, FAIS, STIA, LRA, EE, etc.
